Choosing a bag that actually gets kept

Most promotional bags fail for one of three reasons, and all three are avoidable at the specification stage.

• It feels disposable. A thin synthetic bag signals that the giver did not value it either. Cotton has weight and texture, and people keep it.
• It is the wrong size for the day. A conference bag has to hold an A4 programme and a water bottle. A race pack has to be wearable. Size around what the recipient is carrying, not around the cheapest unit price.
• The branding is too loud. A bag that is 80% logo becomes an advertisement people are embarrassed to carry. A clean single-colour mark on natural cotton gets worn in public, which is the entire point.

Which style for which event

• Conferences and trade shows — a 14x18 or larger drawstring backpack, worn hands-free while delegates collect literature all day.
• Races and sports events — a cinch-style bag for kit bags and finisher packs, light enough to post to entrants in advance.
• Retail and sampling campaigns — smaller 8x10 or 10x12 bags that hold a sample set and double as the packaging.
• Schools, universities and open days — mid-size bags carrying a prospectus, printed with a crest.
• Corporate gifting and welcome packs — heavier canvas where the bag itself is part of the gift.
• Festivals and community events — durable, washable bags that survive an outdoor weekend.

What drives the price

Three things, in this order: quantity, bag size, and number of print colours. Quantity moves the unit price most — the steps at 500, 1,000 and 5,000 are meaningful, because screen setup is a fixed cost spread across the run. Bag size drives fabric consumption. Each additional spot colour needs its own screen and another pass, so a one-colour logo on 1,000 bags is dramatically cheaper per unit than a four-colour print on 150.

Planning the lead time

Work backwards from the event, not forwards from today. Production is 5-7 business days after you approve the digital proof, and the proof comes back within about one working day of us receiving usable artwork. Add transit, then add a buffer for the artwork round trip if approval has to go through a committee — that is almost always the slowest step, not the printing. Two to three weeks before the event is comfortable. If you are inside that, say so in the quote request and we will tell you straight away whether it is achievable.
