Custom Cotton Tote Bags for Small Business: Printing, MOQ & Cost

On this page
For most small businesses the right first order is 100 to 250 custom printed cotton totes, 145 GSM, one or two print colours, in a 15x16 inch size. That combination keeps the unit price sensible, produces a bag people actually keep, and gives you enough stock to test whether branded totes work for your business before committing to thousands.

Does a branded tote actually pay for itself?
Run the arithmetic before the design. A tote is not a cost per unit, it is a cost per impression. A bag used weekly for two years is roughly a hundred outings, each one seen by however many people are nearby. Compare that with a printed flyer, which is seen once.
The catch is that the maths only works if the bag gets used. That is entirely a function of two decisions: whether it feels good enough to keep, and whether the branding is restrained enough that someone will carry it in public. A bag that is 80% logo becomes an advertisement people are embarrassed to be seen with, and its cost per impression is effectively infinite.
Choosing the specification
Fabric weight
145 GSM natural cotton is the default and the right answer for most first orders. It is opaque, survives daily use, prints cleanly and is light enough that shipping does not eat the discount. Move to heavier canvas only when the bag has to stand up on a shelf or carry real weight — groceries, books, a laptop. Heavier fabric costs more twice, once in cotton and again in freight.
Size
- 9x11 in — A4 and Letter documents. Workshops, onboarding packs, small product gifting.
- 12x14 in — a book, a folded garment, lunch. Good all-rounder for retail.
- 15x16 in — the workhorse. A grocery shop, gym kit, market purchases. Most-ordered size.
- 18x20 in — bedding, bulk apparel, hampers.
Handles
Roughly 20–22 inches total is hand-carry. 26–30 inches clears a shoulder and a winter coat, which is what you want if the bag will be worn rather than carried. Reinforced stitching at the handle joins is not an upgrade — it is the difference between a bag that lasts and one that fails in public. Ask to see a box or cross stitch at each join on the sample.
Print methods, honestly compared
| Method | Best for | Cost behaviour | Limitation |
|---|---|---|---|
| Screen print | 1–3 flat colours, volume runs | Fixed setup per colour, then very cheap per bag | Not for gradients or photographs |
| Full colour / digital | Photographic or gradient artwork | Higher per bag, low setup | Sits on the surface; can crack over years |
| Embroidery | Premium gifting on canvas | Priced by stitch count | Poor at fine detail and small type |
For a small business the answer is usually screen printing in one or two colours. It is the cheapest at any real volume, it survives washing because the ink sits in the weave rather than on top of it, and a clean single-colour mark on natural cotton looks more considered than a busy full-colour print. What actually drives your quote
- Quantity — dominant, because screen setup is fixed and spreads across the run. The steps are at 500, 1,000 and 5,000.
- Bag size — straight fabric consumption.
- Number of print colours — each is a separate screen and press pass.
- Print locations — a back panel is a second setup, noticeable under about 500 units.
If you have a fixed budget, send the number rather than the specification. On a small first order the best use of money is almost always more bags and a simpler print, not fewer bags with a four-colour design.
Artwork: what to send
Vector files — AI, EPS or PDF — scale to any bag size without softening. A high-resolution PNG works for a simple wordmark. Convert type to outlines so no font can substitute. Keep type above about 6pt, because fine strokes fill in where ink meets a cotton weave. Before you size the artwork, check the imprint area guide — the printable panel is smaller than the bag, and clearing the handle seams matters.
Minimums and timing
Custom printing starts at 100 pieces. That figure exists because a screen setup costs the same at any quantity, not to gatekeep small buyers — below roughly a hundred the setup is worth more than the bags. If you need fewer, buy blank wholesale cotton tote bags and use a local decorator.
Production runs 5–7 business days after you approve the free digital proof, plus transit. The step that slips is artwork approval on your side, so allow two to three weeks in total if you are working to a launch or event date.

Frequently asked questions
What is the minimum order for custom printed tote bags?
100 pieces. Below that the screen setup costs more than the bags. If you need fewer, buy blank totes from stock and use a local decorator — under about fifty bags that is nearly always cheaper.
How much do custom tote bags cost for a small business?
Quantity drives it most, then bag size, then how many colours are in your artwork. There is no single figure, which is why totes are quoted. A one-colour print on 250 mid-size bags is a very different number from a four-colour print on 100.
What GSM should a small business choose?
145 GSM for almost every first order. It is opaque, durable for daily use, prints cleanly and keeps freight low. Heavier canvas only when the bag must hold its shape or carry weight, because it raises both the bag cost and the shipping cost.
Screen print or full colour?
Screen print, unless your artwork is photographic or has gradients. It is cheaper at volume, the ink sits in the weave so it survives washing, and one or two flat colours on natural cotton usually looks better than a busy full-colour print.
How long does a custom tote order take?
5 to 7 business days of production after you approve the digital proof, plus transit. Allow two to three weeks in total — artwork approval on your side is usually the slowest step, not the printing.
